Project Groups in TBS

There are many situations where you may wish to be able to group together multiple bookings and view them as one 'group'

it may be for one particularly large booking that you wish to break down into multiple smaller bookings, or it may be an event where you have multiple separate bookings over multiple different clients, such as an exhibition, or a festival

By creating a Project Group, and then setting several bookings in to that Project Group, it is then possible to print various reports, and view various lists, by referencing the Project Group as the single point of reference

There is a specific navigation option for viewing Project Groups, which simply adds the list of Projects above the Bookings Details list and therefore filters the Bookings Details by the Project Group :

If you wish to hold a (separate to the bookings items) status of a project on its own, you can add your own list of status entries, which are set as Refs entries (see Administration --> Refs) under the group name : projectgroup, with subgroup of : pgstatus as character entries

You can keep (all optionally) default start and end dates, a specific internal user as Project leader, a Project type, a Default Invoice Client, with contact, a Default Delivery client, Build Engineer and various other settings

Upon creating a new booking from within a Project Group, these settings are used by default to make a new booking faster to create

In order to print Project reports over multiple bookings within an individual Project, there are various 'rules' for that, which include things like : to print any of the Quotation, Confirmation, Invoice reports, then all selected bookings must share not only the same Project, but must also share the same Client :

You are given the option of printing a project report solely as a one page 'summary' of the project, or by printing the complete detail of each booking followed by the summary page of the selected bookings :

The summary page simply lists each of the selected bookings along with whatever parts of the job you may wish (as with all TBS reports, you can request to show any detail you wish) :

Note : the project report layouts are part of any TBS users specific report layouts. These are not created unless requested, so if you try these reports and find the layouts to be not as you wish, don't panic ! Just let us know and we can - as with all reports - easily change it to your required style !
