Issuing Calendar events in TBS2

You can send out 2 different types of Calendar events from TBS2

The first type is for Project Group information. This event is sent to one of the TBS mailing lists of pre-defined users - note as the calendar events are sent via email, all users added to the mailing list for project group calendar events must have a valid external email address ! The mailing list is called 'Project Group Calendar Events' and is available via Communications / Mailing Lists - if you do not see the option for Project Group Calendar Events in your Mailing Lists list, then use the Special option 'Check System Lists' which will check your mailing lists to ensure you have all the current lists set up - which will then include the Project Group Calendar Events list....

To send calendar events for Project Groups, go to the Project Group list - select the projects you wish to send calendar events out for, and use the Special menu option Send/Update Selected Calendar Events:

Recipients of the mailing list will get an email with a calendar entry embedded which will allow them to add the event in to their own calendar - this should work for both Mac (Mail and Entourage) as well as PC (Outlook) users.

 

The second use of calendars is for crew bookings - any stock description designated as a crew booking, when added to a booking and allocated to a supplier, can then send that supplier a calendar reminder of the event :

This invokes a standard calendar message containing details of the booking to be emailed to the supplier of the selected line(s) - of course provided they have a valid email address set in their details !
