Interfacing Vehicle Rental in TBS

To integrate vehicle rental in to TBS involves the addition of some specific elements, described below :

Driver Details

There is a specific list kept - wholly independently of Contacts - specifically and only for maintaining driver information - available in the Clients menu options :

This opens a standard TBS list for driver details :

Or when populated :

Editing a driver details entry shows the following standard TBS edit view :

You can use the 'Browse' buttons to add documents to both the DVLA Check attachments as well as Photocards - and the 'Save And Continue' button will save that file and bring you back to the edit screen with the attachment showing

Note : if entering driver details on a mobile device (with a camera), then using the Browse buttons allows you to take a photo which is immediately placed as the upload file (see later example in vehicle booking entry)

Clicking on the link 'Add Another Photocard' shows you all attachments to the driver entry :

Here you see not only the photocards but the DVLA check entries as well - note the DVLA check attachments are only shown as links to downloadable documents, but you can add and delete attachments as required from here

Clicking on the 'Endorsements' link shows you all endorsements entered against the driver detail :

The Endorsements edit screen looks like this :

Note : in the main driver details list, the total of un-expired points is shown against each driver - any endorsements that are beyond expiration are ignored

Note : within the main driver details page, clicking on any image will display it full size (useful on smaller devices !) :

Note : a further click on the larger image will remove it back to normal view

Vehicle Booking

Within any booking, from the Bookings Items list - there is an option (only shown for bookings which include vehicle stock descriptions !) to view specific Vehicle information :

After selecting the appropriate line item, then clicking on the Vehicle Details button opens the Vehicle Booking form :

Each of the 6 available driver entries are standard TBS lookup fields so enter a part of what you are looking for to be shown a list of matching entries :

Then select the entry you require :

image

At any point you can use the 'Save And Continue' button which will then show you additional information about the driver selected :

image

Moving down to the Vehicle selection, clicking the magnifying glass icon shows you the list of available choices of vehicles :

image

Again select the entry you require :

image

At this point - if you are on a mobile device with a camera, this is an example of being able to take photos directly of the vehicle (as with photocards for driver details) :

image

Click on the Choose File button :

image

To take a photo, simply click the Take Photo option, take your photo and accept it if it is ok :

image

Then using the 'Save And Continue' button will upload that photo and allow you to take another, as many as you may wish..... :

image

Once all information has been entered for the start of the booking, you can then ask the user to enter their name and email, and to sign the mobile device (or computer screen can be signed with the mouse !) :

image

Once the user has signed the form, you can click the Save And Send Email button to invoke a standard TBS email screen which includes a pdf of the signed document :

This is an example of the pdf attachment :

As with other pdf attachments, the document is attached to the bookings attachments list :
